What is AI automation?

Short answer

AI automation is software that reads unstructured input, decides what to do with it, and completes the task inside your existing tools. Traditional automation moves data between systems when the format never changes. AI automation handles the email, the PDF, the scan and the exception, which is where most of the work actually sits.

Key takeaways

  • AI automation reads what was never structured: emails, PDFs, scans, spreadsheets.
  • Rule-based automation stops at the exception. AI automation asks a person and continues.
  • Most companies start with invoices, email replies, reporting, proposals or data entry.
  • Four to eight weeks from the first call to a system in daily use.

What AI automation does that rules cannot

It reads what was never structured

A freight order arrives as a paragraph with a PDF attached. The system pulls the addresses, the dates, the goods and the price out of it and writes an order into the CRM. We built exactly that across eight European markets and five freight modes.

It decides

A price request and a booking look alike in an inbox. The system tells them apart and asks before it books anything.

It handles the exception instead of stopping

When the cargo ready date is missing, it emails the sender, waits for the answer, and continues the same job when the answer comes back.

It applies your rules, not generic ones

The same system knows that a reference number goes in Notes and a truck plate goes in its own field, because somebody wrote that down once.

AI automation and traditional automation

Traditional automationAI automation
InputA fixed form or fieldAn email, a PDF, a scan, a spreadsheet
RuleWritten by a person in advanceLearned from your documents and your past work
ExceptionStops and waitsAsks the sender, then continues
Fails whenThe format changesThe task was never defined
RULE-BASED Fixed form Rule System a new format stops it AI AUTOMATION Email, PDF, scan Agent System it asks when something is missing

Both have a place. A step that copies a form into a sheet does not need a model. The order email a customer wrote in their own words does.

Where companies start

The first automation is almost always one of five.

  1. 1
Invoices and documentsOut of a PDF or a photo and into the accounting system, with the exceptions flagged for a person.
  2. 2
Email repliesDrafted in your tone, from your own documents, for someone to check and send.
  3. 3
ReportingScattered files and exports turned into one summary on a schedule.
  4. 4
Proposals and quotesPulled from your templates, pricing and past work instead of written from a blank page.
  5. 5
Data entry between systemsThe order, the candidate, the ticket, keyed once instead of twice.

What that returns, from builds we have delivered: 60% fewer repeated internal questions at an accounting firm, about 1,380 hours a year at a recruiting firm, 10k+ videos a month reviewed at an automotive data company, and 55,200 EUR a year across five departments at one company in a single day of building.

What you need before you start

  • One process that repeats. If it happens twice a month, it is not the place to start.
  • Your rules written down. Not perfectly, but written. This step decides whether the output is usable, and it is the one everybody skips.
  • Access to the tools the work lives in. Email, drive, CRM, project tool. The work has to be done where it already happens.
  • Somebody who owns it. A system with no owner is stale within a month.

How long it takes and what it costs

Map the work Build Test on real work In daily use 4 to 8 weeks

Most builds take four to eight weeks from the first call to a system in daily use. Cost follows the work, and we quote a fixed price once the process is mapped. Licences are separate and you buy them directly.

AI automation FAQ

Is AI automation the same as using ChatGPT?

No. A chat window answers a question and you copy the answer somewhere. AI automation finishes the task inside your systems, without anybody in the chat.

What is an AI agent?

One automation with a job and permission to act. It reads its input, follows your rules and writes the result where it belongs.

Does it replace people?

It replaces the typing. Every system we build sends the exceptions to a person, because the exceptions are where judgment is worth paying for.

Do we need developers?

No. The work is mapping the process and writing the rules down, and your own team knows both better than any developer.

Is our data safe?

It stays in your tools. You agree what the system may read and write before anything is connected, and you can revoke it from your own admin settings.
